How to manage overtime leave and balance payment


Balance leave or payment for plus balance usually follows the one to one ratio in compensation. Balance leave is usually held by creating a balance leave type of absence.

Overtime leave or payment for overtime hours usually includes a multiplier which is used to convert overtime hours into a compensation. The multiplier used varies according to different collective labor agreements or other agreements between the employer and employee. PlanMill does not support an automatic way of handling overtime type of compensation due to those varying factors.

Create a specific task to manage overtime and balance payment

It is advised to have person specific tasks for each person when an overtime leave or payment for overtime hours occurs. These tasks can be under a new internal project created for this purpose or under an existing project.

Example: Handle an overtime leave

An user has 10 hours of overtime which has been agreed to be converted into a leave of 15 hours by using the 1,5 multiplier. The following steps should be done by a person with HR rights.

  1. Ensure an overtime compensation task ‘Overtime and balance compensation/Brooke’ has been created for the user.
  2. Reset the overtime to zero by making a negative time report (-10h) for the overtime field in the compensation task.
  3. Report the agreed 15h as normal time report for the compensation task.

    Note: Time reports must be split into multiple reports if they exceed 24 hours as PlanMill allows an user to have maximum length of 24 hours for a time report.

  4. Accept the time report. Read more about how to accept time reports.
  5. When the user wants to have the overtime leave, he/she must report it as a balance leave type of an absence. This way the absence will consume the amount of hours that were added to the balance.

Example: Payment for plus balance/overtime hours

An user has a plus balance of 40 hours and he/she will receive 20 hours of that amount as a payment. If the payment is for overtime hours, check the example above for the conversion of overtime hours into plus balance hours.

  1. Ensure a compensation task ‘Overtime and balance compensation/Brooke’ has been created for the user.
  2. Make a negative time report (-20h) for the payment day in the compensation task.

    Note: Time reports must be split into multiple reports if they exceed 24 hours as PlanMill allows an user to have maximum length of 24 hours for a time report.

  3. Accept the time report.
